Prepare Club Automation groups before importing existing records

Community Bridge has built saved groups for preparing Club Automation imports by Home Club. Here’s how the status and date filters work, how completed groups are used, and what the results can tell you.

Before you import existing Club Automation records into Community Bridge, you need to choose which people to include. Community Bridge has built a saved-group workflow to prepare that selection separately from the import. If your connection has the required update, it lets you select people by Home Club, current person status and, for canceled or expired people, membership-event dates. Availability on your connection isn’t confirmed by publication of the update.

You can review report progress first, then use completed results for an import without generating the report again. Preparing a group doesn’t create people in Community Bridge.

Choose the group you need

In the Club Automation connection settings, “Backfill populations” means saved groups of people prepared for an import. You create one report for each Home Club you select.

Three current person statuses are supported:

  • Active: No date restriction applies.
  • Canceled: Choose a cancellation-date range alongside current Canceled status.
  • Expired: Choose an expiration-date range alongside current Expired status.

Other statuses appear in the group form, but can’t be submitted.

The dates refer to membership events, not when a person’s record was last changed. Both the start and end dates are included.

For example, if you choose Canceled people at one Home Club with cancellation dates during September, the report requests people who are currently Canceled and have a matching cancellation event in that range. It isn’t a list of everyone who was canceled at any point in September.

Review the results before importing

The saved-group list shows the Home Club, status, date range, report progress and unique-person count. Those details let you check the selection before starting the separate import.

Only completed groups containing people are offered in the import form. You can select more than one completed group; people appearing in multiple selected groups are included only once. The import fetches profiles while reusing the saved report results.

Know the limits before you start

The separate import still uses its usual permissions and options.

Groups reflect the report results collected while it runs, not a historical snapshot or guaranteed complete membership count. Records can move between report pages as Club Automation changes. Community Bridge doesn’t independently verify who qualifies when preparing or accepting a saved group for import.

There’s a separate import timing limitation: follow-up data fetching can be severely delayed during bulk imports. This update doesn’t resolve that delay. Completion counters wait for all selected follow-up data to finish, so they may not reflect person records that have already been saved.

Once your connection supports saved groups, choose the Home Club and current status you need, then review the completed report’s criteria and count before selecting it for the separate import.
